Since Health Savings Accounts are owned by the member, employers cannot make changes to personal information on behalf of the employee.
To make changes such as updating an address, adding or updating an email address, adding dependents, or ordering new cards, please direct your employee to either:
Log in to the Member Portal at my.HealthEquity.com
Contact Member Services at 866.346.5800 or via chat from the member portal
If your employee needs to change their name, they will need to fill out a Change of Personal Information Form in their member portal and submit it along with supporting documentation.

Update status from individual to family
For non-integrated accounts you can change an employee’s coverage information through your employer portal unless enrollment is being delivered on an integrated file feed.
Find the employee to update and click their name.
Click the ‘Update’ button next to the Health Savings Account (HSA).
Change the 'Coverage Level' dropdown to ‘Family.’
Click Save.
Click Update at the bottom of the page to update the coverage.
For integrated accounts, coverage changes and terminations will be sent to HealthEquity by the health plan or other eligibility source and will reflect on your employee listing.
Update employee status to active
For non-integrated accounts you can change an employee’s status through your employer portal.
An inactive employee is one who has been terminated or voluntarily dropped coverage.
To update status:
Go to Employee Info > Employee Listing.
Click the radio button to 'Show the Inactive Employees'.
Click on the employee’s name.
Scroll down to the ‘Accounts’ section and select the 'Account Type'.
Choose a Plan and enter any amounts and dates required.
Click on Update to apply your changes and activate the employee.
If you have several employees to activate, you can activate them in bulk:
Go to Employee Info > Employee Listing.
Click the radio button to 'Show the Inactive Employees'.
Select the box to the left of each account holder’s name.
Tip: Select all employees with self-coverage together and then all employees with family coverage together.
At the top of the employee list select Update Insurance Coverage from the dropdown menu and click Go.
Update the plan name, coverage, and effective date in the green bar.
Click Select for All to update all employees in the selected listing.
Click on Update to apply your changes and activate the employees.
Adding or updating department and/or employee ID
Assign a department or employee ID to use for sorting and filtering on reports. This can be done individually or in bulk.
To Update an Individual Employee:
Click Employee Info > Employee Listing.
Click the employee’s name.
Update the Employee ID and/or Department.
Scroll down and click the ‘Update’ button at the bottom of the screen to save your changes.
To Update Multiple Employees:
Click ‘Download Template’ and replace the example employee information with your employees’ updated Department and/or Employee ID and save.
Click ‘Select files’ to upload your file.
You will be taken to a ‘File Status’ page where you can check for errors in your file and see the upload status.
