How can I tell if a card has been sent to an employee?

Follow the steps below to view the status of a card:

  • Click the ‘PARTICIPANTS’ tab.

  • Click ‘SEARCH’ in the subtab.

  • Enter search criteria such as last name, first name, and/or last four digits of their unique ID.

  • Click ‘SEARCH’

  • Click on the member’s name to view their profile.

  • Click the ‘HEALTHCARE & DEPENDENT CARE’ tab (upper left-hand side of the page on the black bar).

  • Select the ‘Health Care Card’ button (found under the display section in the upper left-hand side of the page).

  • From here you can view individual card status, when a card was requested, mailed, activation and expiration status.

Note: Allow three weeks from the requested date for the card to be mailed.

An employee lost their card; how do they get a new one?

Replacement card requests must be made by members directly. Here are instructions for ordering a new card in the member portal to give to your employee:

  • In your member portal, select ‘Manage Card.’

  • Select ‘Order Replacement Card.’

  • Follow the steps and complete the required information for a new card. 

  • An alert message is displayed if the card can’t be replaced. 

NOTE: Cards will be mailed out within three weeks of the requested date.

What happens if they use the HRA card for an RX and pharmacy item, but another item isn't an HRA-eligible expense?

If the other item(s) isn't an eligible Health Reimbursement Arrangement (HRA) expense, the card will automatically decline, prompting the provider to request an alternate form of payment.

Do you have enrollment forms for our company to use?

Enrollment forms can be downloaded from HealthEquity.com/account-forms. You can also review and download other helpful documents for your employees, such as flyers and the employee quick start guide from the Open Enrollment Toolkit site.

The enrollment forms are for your records. Once the employees complete and return the enrollment form, you will need to process their enrollments in the employer portal. The employee enrollments can be processed manually via template upload or by utilizing the express enrollment tool.

Does the employee receive a credit card for Dependent Care like with Healthcare FSA?

With Dependent Care Flexible Spending Accounts (DCFSA), most employers choose not to opt in for a credit card. Unlike Healthcare Flexible Spending Accounts (HCFSA), DCFSA isn't a front-loaded benefit; rather, it operates on an "as funded" basis and is structured as a Reimbursement Account (RA). As employees contribute through payroll deductions, the available balance gradually accumulates, allowing them to subsequently submit claims for reimbursement.

What if my employee hasn't received a card?

If a member hasn't received their card, confirm the following:

  • Ensure the member's mailing address is correct in their Profile.

  • Check the member's benefit group effective date in the eligibility section. If it's a future date, the card won't be requested until then. Update the date using the “EDIT PROFILE” option; it's recommended to use the hire date as the benefit group date.

  • Review the ’Requested Date’ under the Healthcare & Dependent Care tab:

    • If the requested and mailing dates are filled and the address is correct, advise the member to request a new card 15 calendar days after the mailing date.

    • If the requested and mailing dates are blank and the benefit group date has passed, contact Client Services for troubleshooting.

Note: Cards are mailed in a plain white envelope for discretion and can be easily missed.
